As a Virtual Administrative Assistant, you will be an integral part of our management team, supporting our mission by providing high-level administrative services. You will collaborate closely with the Director and other team members to ensure that all administrative and operational needs are met efficiently.
- Deliver comprehensive administrative support, including research, report preparation, memo drafting, and correspondence management.
- Manage the Google calendar, contacts, virtual conference rooms, appointments, and events in alignment with company policies and directives.
- Coordinate team meetings, including large group gatherings.
- Execute special projects and initiatives as required.
- Oversee logistical arrangements for meetings and prepare relevant presentations and documents.
- Ensure smooth business operations by maintaining electronic work tools and liaising with vendors for their upkeep.
- Provide exceptional customer service via email and phone to clients, colleagues, external partners, and website visitors.
- Create and keep updated administrative instruction manuals to enhance work efficiency.
- Organize, maintain, and periodically audit the company’s electronic filing system.
- Identify opportunities for process improvements.
- Perform light accounting tasks.
- Occasionally attend special events, including weekends.
- Work independently with minimal supervision while interacting with all organizational levels, maintaining strict confidentiality on sensitive topics.
- Other related tasks as needed.
