After raising $14M in Series A funding, Rebar is expanding its New York City office and seeking a Proactive Administrative Assistant to support this growth.
Role overview
This position partners closely with the CEO, Chief of Staff, and multiple teams to keep daily operations organized and efficient. The Proactive Administrative Assistant plays a visible, trusted role, supporting both people and processes as Rebar scales. Success in this role comes from anticipating needs, managing details, and serving as a steady resource for the team.
What you will do
- Coordinate with executives to manage calendars, logistics, and communications so leadership can focus on top priorities.
- Oversee onboarding and offboarding for employees, including scheduling, arranging platform access, and handling equipment.
- Arrange company travel and track expenses, ensuring compliance and smooth workflows.
- Act as the main contact for benefits questions and assist with employee enrollment.
- Maintain and improve internal systems and processes as the company grows.
Requirements
- Minimum 2 years of experience in an administrative, executive assistant, or office management position.
- Collaborative attitude and willingness to take on a range of tasks.
- Strong organizational skills, clear written communication, and attention to detail.
- Ability to take initiative and follow through independently.
- Comfort managing multiple priorities in a busy setting.
