Educational/Experience Requirements:High school diploma or equivalent. Minimum of three years in a clerical role involving patient and business charge entry and inventory management. Typing speed of 35 wpm and strong numerical skills are required, along with prior computer experience. Experience with data entry and database management, as well as familiarity with medical terminology, is preferred. Flexibility in working hours is necessary. Attention to detail and a focused approach are critical. Prior roles should demonstrate extensive public interaction and innovative problem-solving in customer service situations.

About the job

The Outpatient Assistant at Luminis Health in Annapolis, MD, welcomes patients at the back desk and manages incoming calls. This position supports the check-in process, ensuring all necessary forms are completed and signed correctly.

Main responsibilities

  • Answer intake calls, complete encounters in EPIC, and collect substance use history and insurance information.
  • Schedule appointments promptly and direct callers to the appropriate staff when necessary.
  • Collaborate with clinical staff and participate in staff meetings.
  • Organize and maintain new outpatient records, making sure all required documentation is included.
  • Support the chain of custody for outpatient urine specimens used in drug screening, follow established procedures, process payments, and provide receipts for screenings as needed.
  • Register patients in the electronic medical record system and assist Pathways staff with registration questions.
  • Offer administrative support to the Outpatient Department, including office tasks such as supply inventory, billing, and invoicing.
  • Review and maintain statistical data for reports, including CPI/QI reports.
  • Post daily charges when required.
  • Provide coverage for the financial counselor and assist at the front desk as needed.
