Help AG is hiring a Guest Relations Specialist & Office Administration professional in Dubai. This position is open exclusively to Emirati Nationals. The role blends guest relations with daily office administration, ensuring visitors receive a warm welcome and the workplace remains organized and efficient. The position also provides broad administrative support to various departments and helps coordinate activities across the company.
Key Responsibilities
- Maintain a tidy, visually appealing office environment at all times.
- Monitor and restock supplies, stationery, and equipment as needed.
- Coordinate repairs and improvements with internal staff and external vendors.
- Arrange refreshments and catering for meetings and guest visits.
- Oversee preventive maintenance checks and coordinate equipment repairs.
- Manage contracts with service providers, including maintenance and catering agreements.
- Welcome and guide visitors, ensuring a smooth and professional experience from arrival to departure.
- Maintain office presentation and readiness for guest interactions.
- Personally greet and assist visitors, staying attentive throughout their visit.
- Process documents for completion, signatures, and filing according to company procedures.
- Ensure documents and communications meet company standards.
- Track and report on corporate and operational projects as required.
- Update internal internet and intranet systems with news and information.
- Conduct research and draft correspondence or reports as needed.
- Assist employees with office supply, business card, and mobile phone requests.
- Manage employee enrollment in corporate systems to ensure proper access.
- Coordinate training sessions with vendors and customers for internal and project needs.
- Verify project completion and close out projects in internal systems as per agreements.
