About the job

We are seeking a proactive and organized Office Manager to enhance the efficiency of our office operations in Warsaw. This is a full-time, on-site position that reports directly to the Operations Director.

Key Responsibilities:

  • Ensure smooth and professional office operations in a fast-paced and evolving environment.
  • Oversee daily administrative tasks including document flow, correspondence, deliveries, and liaising with service providers.
  • Manage the office space, collaborating with building administration, technical services, and service vendors.
  • Maintain a high standard of workplace environment, ensuring employee comfort and positive visitor experiences.

Team Management and Internal Collaboration:

  • Coordinate the work of the Office Assistant and ensure effective information flow within the team.
  • Work closely with Operations, HR, Finance, Compliance, Sales, IT, and global teams.
  • Collaborate with office coordinators in other locations across Poland.

Fleet Management and External Collaboration:

  • Coordinate communication and collaboration with the external company managing the vehicle fleet.
  • Monitor contracts, requests, services, and vehicle pickups and returns.
  • Support employees on the use of company cars and oversee compliance with fleet processes.
