Role Overview
The Executive Assistant plays a pivotal role in supporting one or more consultants, offering comprehensive assistance throughout client engagements while taking ownership of various administrative tasks. This position demands an individual who is adept at planning, executing, and finalizing projects within established timelines. Responsibilities include resource acquisition and coordination of team efforts to ensure project delivery aligns with expectations. The Executive Assistant must be proactive in managing project scope changes, identifying potential issues, and implementing contingency plans as necessary.
The ideal candidate will exhibit exceptional flexibility, strong multitasking capabilities, and a passion for navigating the dynamic nature of managing multiple projects with shifting priorities. The Executive Assistant is expected to take pride in their involvement, effectively orchestrating all elements that contribute to a successful engagement. Discretion in handling client and candidate interactions is paramount.
Key Responsibilities
Administrative Duties
- Coordinate all scheduling activities, including candidate meetings, client engagements, business development discussions, and internal meetings, utilizing video conferencing as needed.
- Manage intricate calendars, prioritizing meetings and calls effectively.
- Organize and coordinate complex travel arrangements, itineraries, and agendas for consultants and candidates, and compile relevant documentation for travel-related meetings.
- Process expense reimbursements for consultants and candidates.
- Draft, prepare, and edit confidential correspondence.
- Perform additional administrative tasks, such as answering phone calls, welcoming visitors, planning events, and undertaking ad-hoc projects as assigned.
- Ensure the accuracy and currency of our global database, maintaining all client and internal documents, candidate information, notes, emails, and appointments.
- Assist with office and reception responsibilities to maintain smooth operations, providing support to fellow Executive Assistants as needed to manage workloads.
