Preferred: Diploma in Business Administration, Office Management, or a related field. Minimum of 2 years of administrative experience, preferably within a professional services or engineering setting. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Exceptional organizational and multitasking capabilities with a sharp attention to detail. Strong written and verbal communication skills. Ability to handle confidential information with discretion. A proactive and positive mindset, with the ability to work independently and collaboratively in a team environment. In line with AECOM’s commitment to Emiratisation and UAE labor law, only UAE Nationals with a family book will be considered for this position.

AECOM's Program Cost Consultancy team is on the lookout for a proactive and detail-oriented Administrative Assistant to provide crucial administrative support. The ideal candidate will thrive in a fast-paced environment and exhibit exceptional organizational skills.

  • Assist with daily administrative operations and tasks.

  • Prepare, edit, and ensure the accuracy of documents, presentations, and reports while adhering to company standards.

  • Maintain systematic filing systems, both physical and digital, for efficient document retrieval.

  • Schedule and coordinate project-related meetings, keeping all stakeholders informed of important dates and deliverables.

  • Draft and revise professional correspondence, including emails and letters as necessary.

  • Implement and uphold document control procedures to ensure project documents are correctly labeled, stored, and easily accessible to the project team.

  • Collaborate with project managers and team members on various administrative tasks related to projects.

  • Compile and organize project documentation, such as contracts, specifications, and drawings, to ensure availability for the team.

  • Assist with data entry related to project milestones, timelines, and resource allocation.

  • Generate basic reports and analyses to support project managers in tracking project progress.
