Role overview

This Administrative Assistant position is based in Waltham, MA, with an onsite schedule of 2-3 days per week. The role centers on supporting colleagues in both medical and clinical operations. Success in this position calls for someone who is comfortable handling a blend of administrative and operational tasks, adapts quickly to shifting priorities, and can anticipate team needs. Collaboration and flexibility are essential.

Key responsibilities

  • Manage complex calendars for several team members, coordinating across multiple time zones and providing daily administrative support.
  • Arrange domestic and international travel, including booking flights and accommodations.
  • Prepare and submit expense reports accurately and on schedule, following company guidelines.
  • Coordinate meeting logistics: greet guests, arrange catering, and prepare materials for both internal and external meetings.
  • Monitor kitchen supplies, restock as needed, and keep the area organized.
  • Act as the main contact for office supply and service vendors, track inventory, and place orders when necessary.
  • Support the Senior Executive Assistant with planning and executing internal events, offsite meetings, and company gatherings.
