  • Monday – Friday: 10:00 AM – 8:00 PM CDT
  • Saturday: 10:00 AM – 4:00 PM CDT

Join a dynamic and expanding behavioral health practice as a dedicated Virtual Assistant. This full-time position offers a unique opportunity to contribute to a significant restructuring phase, with prospects for professional growth and advancement as the team expands.

We are searching for an individual who is proactive, detail-oriented, and excels in a fast-paced healthcare environment. Your contributions will enhance patient communication, assist in scheduling, and improve operational efficiency, directly influencing patient care and the practice's growth.

Key Responsibilities

  • Phone Call Management: Answer all incoming calls promptly, ensuring no missed calls.
  • Patient Intake & Scheduling: Oversee the intake of new patients and coordinate appointments effectively.
  • Referral Processing: Manage referrals and ensure timely follow-ups.
  • No-Show Follow-Up: Reach out to patients at least twice and send text reminders with appropriate documentation.
  • Insurance Verification & Prior Authorizations: Accurately process and verify patient insurance coverage.
  • Speed-to-Lead Response: Follow up on new inquiries/referrals within 5 minutes, a critical KPI.
  • Patient Support: Provide assistance with patient questions, including basic clinical inquiries when appropriate.
  • Objection Handling (Nice-to-Have): Comfortably address basic patient concerns over the phone.
  • Team Collaboration: Participate in daily Zoom meetings with the team.

Performance Goals

  • Ensure all incoming calls are answered immediately.
  • Maintain rapid response times for new leads and referrals.
  • Enhance patient attendance through structured follow-ups.
  • Support the clinic’s goal of achieving 100 patients/month.
