AECOM is actively seeking a Project Manager Support Specialist to play a pivotal role in delivering significant rail and transit capital programs within the Bay Area, including projects with Bay Area Rapid Transit (BART). This position is crucial for ensuring effective coordination, documentation, and workflow management, facilitating seamless project execution in a challenging, multi-stakeholder environment.
The role encompasses support across various project development phases, including planning, procurement, construction, integration, and closeout. The ideal candidate will be highly organized, proactive, and adept at collaborating with multidisciplinary teams within a transit agency framework.
Key Responsibilities:
- Assist Project Managers in coordinating tasks and activities within large-scale capital programs.
- Track project scope, schedule, and budget by gathering updates and preparing summaries.
- Organize project processes and maintain execution plans developed by senior Project Managers.
- Prepare meeting materials, take notes, track action items, and coordinate communication internally and externally.
- Foster productive relationships with BART staff and partner agencies as directed by senior Project Managers.
- Support the review of project deliverables for completeness and formatting, identifying issues for PMs as necessary.
- Monitor consultant and contractor submissions, logs, and progress reports.
- Assist with task assignments, workflow tracking, and coordination among multidisciplinary teams.
- Support proposal coordination activities, including gathering inputs and assembling proposal documents.
- Prepare project documentation such as reports, meeting minutes, schedules, and status summaries.
- Collaborate with contractors, consultants, and technical teams to collect information and ensure coordinated project delivery.
- Provide guidance to junior staff on administrative or coordination tasks as needed.
