About the job

Apollo Home Healthcare seeks an Office Manager to join the Pleasanton, CA team. This on-site role supports both clinical and administrative staff, keeping daily operations running smoothly in a home healthcare setting. The Office Manager reports to the Executive Director/Administrator and works Monday through Friday, 9am to 5pm.

Role Overview

The Office Manager is responsible for organizing office operations, supporting recruiting and onboarding, managing supplies, and maintaining compliance. This position plays a key part in ensuring efficient systems that help deliver quality patient care.

Main Responsibilities

Office Operations and Experience

  • Maintain a clean, organized, and welcoming office environment.
  • Greet visitors and create a positive experience for clinicians and guests.
  • Coordinate office maintenance with vendors, building management, and internal teams.

Mail and Information Management

  • Oversee all incoming and outgoing mail.
  • Scan, triage, and route mail to appropriate staff.
  • Monitor and escalate critical documents for timely handling.

Inventory and Field Support

  • Manage medical supply inventory to ensure clinicians and patients have what they need.
  • Coordinate distribution and delivery of supplies to field staff.
  • Order and maintain office supplies for daily operations.

Recruiting and Onboarding Assistance

  • Assist with recruiting, including scheduling interviews and tracking candidates.
  • Support a smooth onboarding process for new hires, including in-person onboarding as needed.
  • Work with HR and clinical leaders to help new team members get started successfully.

Compliance and Administrative Operations

  • Help maintain compliance with licenses, credentialing, and HR documentation.
  • Keep documentation organized, current, and ready for audits.
  • Support process improvements and training for employee record keeping, payroll, and HR compliance.

Team and Clinical Support

  • Assist clinicians with training and troubleshooting for company software tools and workflows.
