Role & Responsibilities:
The Travel Desk Manager will take full ownership of all in-house business travel arrangements, ensuring a seamless experience for all employees.
- Efficiently book business travel (including flights, car rentals, and hotel accommodations) through online platforms, providing timely updates on itineraries and reservations to the relevant staff, along with prompt support via phone and online communication.
- Oversee the management of Business, Transit, and Tourist Visas, as well as travel insurance, ensuring compliance with all travel protocols while coordinating with internal teams to complete reservations in a timely manner.
- Coordinate comprehensive travel arrangements that may involve multiple destinations and changes.
- Assess and prioritize incoming travel requests based on established guidelines under the supervision of the respective managers.
- Validate and ensure the approval and payment of vendor invoices, bills, and reimbursement claims.
- Collaborate with vendors, negotiating rates and fostering corporate partnerships.
- Independently prepare, coordinate, and follow up on proposals for hotels, travel itineraries, and all travel-related documentation.
- Engage and manage clients and corporate guests, delivering concierge services as needed.
- Maintain comprehensive Management Information Systems (MIS) and records.
- Assist with the planning and execution of internal meetings, conferences, and official functions, coordinating logistics for both on-site and off-site events.
- Supervise the performance, attendance, duty rosters, and overall operations of office support staff, including housekeeping and security personnel.
- Manage office supplies and pantry inventory, vendor accounts, and oversee official expenses, bill payments, and reimbursements.
