This is an on-site role at our Laguna Beach headquarters, requiring your presence four days a week.
Key Responsibilities
Administrative & Office Support
Ensure an organized and efficient office environment that enhances team productivity and streamlines daily operations.
Handle all incoming and outgoing mail and bulk shipments through various carriers (DHL, FedEx, UPS, USPS).
Coordinate with third-party vendors and property management to manage scheduling and logistical needs.
Manage maintenance of office equipment and coordinate service appointments as required.
Monitor inventory levels and proactively order office supplies to ensure uninterrupted operations.
Assist with employee onboarding and offboarding processes across multiple platforms.
Help maintain the company calendar and send out all-team invitations.
Oversee office security protocols, including access management and record updates.
Help standardize office procedures and policies across all locations.
Executive Support
Provide project management assistance for department heads, including CFO, SVP International, and SVP Sales + VM Leads.
Manage multiple complex calendars, scheduling meetings, calls, and travel across different time zones.
Assist with expense reporting, reimbursements, and purchase order creation.
Support in planning events, off-sites, and departmental team meetings.
