About the Position
As the Strategic Events Specialist, you will play a crucial role in the planning, coordination, and execution of the Agency's strategic events portfolio. This position encompasses comprehensive event delivery—from concept development and project management to logistics, vendor coordination, and on-site execution—aimed at enhancing Agency priorities and stakeholder relationships. You will ensure that all events adhere to Agency branding, comply with relevant policies, and are executed within timelines and budget constraints.
Responsibilities
- Plan and execute strategic events (in-person, virtual, and hybrid), including ceremonies, roundtables, panels, receptions, press events, stakeholder briefings, and conferences.
- Create detailed event plans, timelines, task trackers, and production schedules to ensure cohesive execution across internal and external teams.
- Facilitate event concept development by aligning communication objectives with effective event formats, audience strategies, and program designs that achieve targeted outcomes.
- Draft and manage comprehensive event documentation, including run-of-show, agendas, invitation lists, RSVP tracking, talking points requests, briefing notes, and staffing plans.
- Oversee event logistics, including venue research and selection, room setups, A/V and staging requirements, accessibility considerations, transportation, and guest flow.
- Coordinate with vendors and partners (e.g., venues, caterers, A/V teams, printers, production crews), ensuring timely quotes, deliverable tracking, and deadline management.
