Job Title: Virtual Assistant (VA)

About the Role:
Pavago is actively seeking a detail-oriented Virtual Assistant to deliver exceptional administrative and operational support from a remote setting. This position demands a unique combination of organizational skills, effective communication, and technological proficiency to manage diverse tasks such as scheduling, correspondence, data entry, and project assistance. Your role as a Virtual Assistant will be critical in ensuring smooth daily operations, meeting deadlines, and allowing our clients to concentrate on their core priorities.
Responsibilities:
Administrative Support:
- Manage calendars, schedule meetings, and coordinate calls.
- Draft and send correspondence including emails, memos, and documents.
- Prepare meeting notes and track follow-up tasks.
Data & Document Management:
- Enter, update, and maintain records in spreadsheets, CRMs, or project management systems.
- Organize and manage digital filing systems (Google Drive, Dropbox, SharePoint).
- Prepare reports or summaries for client review.
Research & Task Execution:
- Conduct online research on competitors, vendors, and market information.
- Compile findings into organized summaries or presentations.
- Provide support for small projects and ad hoc requests.
Customer & Vendor Support:
- Respond to basic client inquiries or direct them to the appropriate team member.
- Manage vendor communications and follow up on outstanding items.
Operations & Project Support:
- Assist with invoicing, expense tracking, and light bookkeeping when required.
- Help maintain project plans and update task management systems (Trello, Asana, Notion, Monday.com).

Required Experience & Skills (Minimum):

- Proficient in Microsoft Office and Google Workspace.
- Strong time management and organizational capabilities.
- Reliable internet connection and ability to work independently.
Ideal Experience & Skills:
- Experience with CRMs (HubSpot, Salesforce, Zoho) and project management tools (Asana, Trello, Notion).
- Familiarity with invoicing, bookkeeping, or light finance support (QuickBooks, Xero).
- A background in supporting entrepreneurs, startups, or remote-first teams.
