About the Role
As a Remote Office Assistant / Operations Coordinator, you will be responsible for managing and coordinating daily front-office tasks from a remote location.
Your responsibilities will include:
Inbound Call Management & Job Booking
- Professionally handle inbound customer inquiries
- Assess service requests and accurately schedule jobs
- Document all job details in CRM systems
- Ensure all customer information is meticulously organized
Technician Scheduling & Dispatch Coordination
- Manage technician schedules for optimal routing
- Confirm appointments with clients
- Adapt schedules in response to cancellations or urgent requests
- Effectively communicate updates to field technicians
Digital Permitting & Compliance Oversight
- Submit and monitor digital permit applications as necessary
- Ensure all documentation meets compliance standards
- Maintain organized digital records for easy access
- Follow up with local authorities or portals when required
Financial Administration & Invoicing
- Prepare and distribute invoices
- Track payments and follow up on outstanding accounts
- Assist with basic financial reconciliation and reporting
- Ensure accuracy in job costing records
Customer Experience & Post-Service Engagement
- Conduct follow-up calls to gauge customer satisfaction
- Solicit reviews and referrals
- Document feedback in CRM systems
- Resolve minor service issues proactively
