Key Responsibilities
Matter Management
- Facilitate the clearance and initiation of client matters.
- Coordinate with clients regarding matter management procedures, including Anti-Money Laundering (AML) compliance.
- Draft and maintain engagement letters.
- Oversee MTM file management.
- Manage checklists and matter file listings for associates.
- Update and maintain matter document folders in IManage.
- Administer matter projects from initiation to closure, including setting up SharePoint sites and supporting post-closing activities like bibling and archiving.
- Organize and participate in client and matter-team meetings.
Commercials/Billing/Collections
- Track and document project scopes, adjustments, estimates, caps, and billing agreements.
- Prepare matter balance reports and provide weekly fee updates to clients.
- Manage working capital activities by facilitating monthly meetings between partners and the working capital team to review work-in-progress (WIP) and debt positions.
- Prepare for monthly meetings by drafting documents for review by fee earners, with a final review by the lead associate.
- Reschedule meetings when necessary to ensure they occur within the first two weeks of each month.
- Assist with billing and collection tasks, including generating accurate GMPS bills and invoices, tax computations, and write-offs for billing team review.
- Liaise with the billing team to ensure safe dispatch of invoices to clients.
Business Development Support
- Assist partners and the business development team with client engagement initiatives.
- Edit and update business development materials such as CVs, pitches, presentations, and client briefings.
- Ensure business development collateral, including CVs and management information systems (MIS), is current.
- Organize, facilitate, and provide support for internal and client events, including virtual gatherings.
- Assist in client communications and updates.
Matter Team Support
- Coordinate document production and liaise with the Document Production Unit (DPU) as needed, including transcribing, editing, and amending legal documents.
- Convert, compare, copy type, and proofread documents to ensure compliance with house style.
- Manage signing pages and electronic filing as applicable.
Best Delivery/Legal Tech/KETL Opportunities/Projects
- Support the use of legal technology by facilitating and managing solutions relevant to matters, including knowledge of the Best Delivery checklist.
- Act as a superuser for Best Delivery tools.
- Facilitate end-of-matter reviews to identify follow-on opportunities such as deal reviews and KETL projects.
