As a Personal Assistant to the Senior Vice President of Film Operations, you will play a pivotal role in ensuring the seamless and effective daily operations of the SVP's office. This position offers you the opportunity to engage with international stakeholders and manage a diverse range of theatrical operations activities.
Your responsibilities will include coordinating various projects and events related to servicing, dubbing, technical delivery, and international post-production, collaborating closely with colleagues across the globe.
Key Responsibilities
- Serve as a trusted partner and primary support for the SVP of Theatrical Operations.
- Engage confidently with senior stakeholders, including executives from L.A., international directors, producers, and company leadership.
- Efficiently manage the SVP’s calendar, prioritizing both internal and external meetings and appointments.
- Oversee the complete coordination of meetings, including room bookings, agenda preparation, and minute-taking.
- Establish and maintain robust working relationships with internal teams and external partners.
- Support key initiatives by developing presentations and supplementary materials (e.g., localization timelines, presentation slides for various stakeholders, and organizing data into charts and spreadsheets).
- Handle intricate international travel arrangements, including flights, ground transportation, visa applications, itineraries, and liaising with territory offices, primarily for the SVP, with occasional assistance for external vendors or team members.
- Accurately process and reconcile expenses and corporate credit card submissions in a timely manner.
- Manage and prioritize email communications, escalating urgent matters and responding as appropriate.
- Prepare and approve purchase orders for the SVP's office.
- Screen, organize, and prioritize incoming calls.
- Draft and disseminate professional correspondence.
- Coordinate gifting and thank-you initiatives.
Additional Responsibilities
In addition to providing direct support to the SVP, this role includes administrative assistance to the broader team and leading individual projects and full event delivery.
Team Events
- Source venues and manage the end-to-end execution of team events (Away Days, Summer Events, Christmas Parties, Farewell Celebrations).
- Oversee event schedules, guest lists, and vendor coordination.
- Coordinate international meetings, including schedules for delegates and offsite logistics.
- Organize and manage group dining for both internal and external stakeholders.
Screenings / Events
- Plan and coordinate test screenings, charity events, Friends and Family screenings, and cast & crew screenings.
- Provide support for major premieres in London.
Dubroom
- Collaborate with the Dubroom on required content or special edits and raise necessary requests.
