Job Title: Payroll Manager for HVAC Group of Companies

About the Role
We are seeking a highly skilled and meticulous Payroll Manager to lead and manage payroll functions across our HVAC Group of Companies. In this pivotal role, you will ensure precise and timely processing of weekly payroll for over 200 employees, which includes hourly technicians, salaried personnel, and commissioned sales staff, utilizing Paychex software. Additionally, you will facilitate employee onboarding and offboarding processes, manage PTO accruals, and maintain up-to-date compensation records.
Key Responsibilities
- Weekly Payroll Processing
- Verify and approve timesheets for approximately 150 hourly technicians across multiple companies.
- Execute weekly payroll for around 50 salaried employees.
- Oversee payroll for approximately 20 sales personnel, including the reconciliation of commission payments with sales performance and draws.
- System Management & Employee Lifecycle
- Keep employee records updated in Paychex, including onboarding new hires and processing terminations.
- Make necessary adjustments to pay rates and compensation details.
- Accurately track and apply PTO accruals.
- Compliance & Reporting
- Ensure payroll operations adhere to federal, state, and local regulations.
- Collaborate with HR, Finance, and Operations teams to resolve discrepancies and maintain precise employee compensation records.
- Generate payroll-related reports and conduct audits as required.
Qualifications
- A minimum of 3 years of payroll processing experience, with at least 1 year in a leadership or managerial capacity.
- Proficient in Paychex or comparable payroll software.
- In-depth knowledge of payroll laws, tax regulations, and best practices.
- Strong reconciliation capabilities, particularly regarding commission-based compensation.
- Exceptional attention to detail, integrity, and confidentiality.
- Proficient in Excel or Google Sheets.
- Excellent organizational and communication skills.
Preferred Qualifications
- Experience managing payroll across multiple business entities or units.
- Background in industries with hourly field staff such as construction or technical services.
- Familiarity with PTO policies and accrual methods.
