About the Role:
At Pavago, we are excited to announce an opening for an Operations Specialist to oversee and drive the daily workforce operations on our dynamic scheduling platform. This pivotal role is central to our operations, responsible for ensuring that shifts are adequately filled, workers are effectively activated, and clients enjoy a seamless operational experience.
This is not your typical administrative or support position. You will manage the entire shift lifecycle, from onboarding professionals to addressing real-time attendance challenges and unexpected changes. The Operations Specialist is integral to upholding service quality, reliability, and building trust among HireApp, its clients, and our workforce.
Key Responsibilities:
Shift Fulfillment & Coordination:
- Oversee and manage the complete shift fulfillment process.
- Respond swiftly to incoming client shift requests, ensuring prompt coverage.
- Assign professionals to shifts, confirming their availability and attendance.
Workforce Onboarding & Management:
- Onboard and activate professionals within the HireApp platform.
- Maintain ongoing communication to foster engagement and reliability.
Live Operations & Issue Resolution:
- Monitor attendance, track clock-ins, and follow up on late arrivals or absences.
- Manage last-minute changes, cancellations, and emergencies by securing replacements.
- Collaborate with on-site managers to resolve operational challenges in real time.
Systems & Process Improvement:
- Ensure internal systems, trackers, and documentation are accurate and up to date.
- Identify recurring issues and propose workflow enhancements to boost efficiency.

Required Qualifications & Skills:
- 2+ years of experience in operations, staffing, or workforce coordination roles.
- Fluency in English (both spoken and written) with a neutral or pleasant accent.
- Strong stakeholder management and communication skills.
- Outstanding organizational and time-management capabilities.
- Proficient with digital platforms, internal systems, and operational tools.
- Reliable computer setup with a stable internet connection.
