Your Role at AbbVie
As a Management Assistant, you will be the backbone of the local Management Team and Senior Management, and a key member of our enthusiastic Office Management team. You will assist 2 to 4 Management Team members with diverse tasks, where accuracy, integrity, and customer focus are crucial. You will seamlessly switch between various priorities, help organize internal and external meetings and events, and initiate improvement projects. Beyond your secretarial and administrative duties, you will contribute to welcoming visitors and managing facility portfolios such as catering, cleaning, and efficient inventory management. Highlighted Responsibilities
- Proactively manage the calendars of executive members, promptly identifying and resolving scheduling conflicts.
- Organize and support travel arrangements, including bookings, visas, and scheduling.
- Coordinate internal and external meetings and events (venue, catering, invitations, minute-taking, action points tracking).
- Assist with the onboarding process of new colleagues.
- Participate in Office Management and improvement projects within the team.
- Act as the first point of contact for internal and external visitors.
- Handle office and facility requests (orders, inventory management, visitor reception, access passes, etc.).
- Prepare and finalize presentations and management reports.
- Draft and maintain reports, organizational charts, and mailing lists.
- Manage correspondence and document management.
