The Facilities Services Manager is essential for ensuring the safe, efficient, and cost-effective operation of a diverse facilities portfolio across multiple states. This pivotal role involves the reception, prioritization, and assignment of maintenance work orders to both internal technicians and external vendors. The successful candidate will demonstrate exceptional coordination, communication, and operational oversight to align facilities services with the overarching organizational objectives and service standards.
Key Responsibilities
Operations & Dispatch
- Efficiently receive, prioritize, and dispatch maintenance work orders based on urgency, location, technician availability, and business priorities.
- Coordinate internal maintenance technicians to ensure timely and effective service delivery.
- Manage external vendors as necessary to meet operational demands.
Stakeholder & Cross-Functional Coordination
- Collaborate with internal departments to facilitate smooth operations and prompt completion of maintenance requests.
- Act as the primary contact for maintenance-related inquiries, providing timely updates to internal stakeholders.
Budget & Cost Management
- Implement best practices and standards to ensure cost-effective repairs and maintenance activities.
- Oversee inventory, materials, tools, equipment, and vehicle-related expenses.
- Review credit card usage and expenses to ensure adherence to company policies.
Vendor & Performance Management
- Monitor and assess external vendor performance to ensure quality, responsiveness, and compliance with established standards.
- Contribute to the performance evaluation of internal maintenance staff by overseeing work quality and expense management.
Reporting & Documentation
- Maintain accurate records of service requests, work orders, and maintenance activities within the company’s maintenance management system.
- Generate and analyze reports on maintenance activities, identifying trends, risks, and opportunities for improvement through key performance indicators.
Customer Service & Emergency Response
- Promptly and professionally address and resolve service inquiries or complaints.
- Coordinate and support emergency maintenance responses as required.
Compliance & Safety
- Ensure that all maintenance activities comply with company policies, safety regulations, and relevant industry standards.
Fleet & Vehicle Oversight
- Manage and track service and maintenance requirements for technician vehicles to ensure reliability and readiness.
