AbbVie is on the lookout for a dedicated and highly organized Executive Assistant who will provide exceptional administrative support to the Vice President & General Manager of AbbVie Pharma in Australia and New Zealand. This critical position involves managing intricate scheduling, executive communications, travel arrangements, and strategic event planning. With a focus on professionalism and integrity, the role demands proactive problem-solving and keeping leadership informed of essential developments, while adeptly responding to a variety of dynamic business needs.
KEY RESPONSIBILITIES
- Efficiently manage complex calendars and scheduling needs for both internal and external engagements, proactively identifying and resolving conflicts.
- Coordinate both domestic and international travel logistics, collaborating with corporate travel agencies and managing expense claims effectively.
- Draft, edit, and disseminate high-quality correspondence, presentations, reports, and internal communications, ensuring accuracy and professionalism.
- Organize and facilitate agendas, supporting documents, and minute-taking for significant meetings and executive forums, ensuring timely follow-up.
- Plan and execute company events, including quarterly offsite meetings and arrangements for visiting International Leadership Team members, providing a premium experience for attendees.
- Serve as a point of contact for inquiries and urgent matters, exercising sound judgment and keeping leadership informed of critical updates, particularly during their absence.
- Ensure compliance with relevant legal standards, ethical guidelines, and internal policies in all activities.
- Mentor and lead Administrative Assistants, chairing bi-monthly admin team meetings to promote collaboration and continuous improvement.
- Report any adverse events within 24 hours as per AbbVie’s procedures.
- Actively participate in AbbVie’s Work Health and Safety programs, adhering to policies and promoting a safe workplace.
- Comply with AbbVie’s codes of conduct and ethics training requirements.
- Perform additional ad hoc administrative duties as required.
