The Editorial Operations Specialist, reporting to the Researcher Experience and Operations Manager, is a detail-oriented and customer-focused professional responsible for managing essential editorial workflows and researcher engagement activities that guarantee a seamless, high-quality experience for editors, authors, and internal stakeholders.
Key Responsibilities:
- Manage daily journal operations, including coordinating editor requests, assisting with workflow or platform updates, addressing editorial office and content operations inquiries, and submitting internal tickets for platform maintenance.
- Conduct editorial outreach to enhance submissions to AIP Publishing and Member Society publications through established workflows, including supporting guest editor onboarding and executing commissioning campaigns aligned with the campaign calendar.
- Provide prompt and professional responses to researcher and editor inquiries via ticketing software, ensuring exceptional customer service for both internal and external clients.
- Maintain accurate records to support internal reporting; assist with data extraction and utilization of basic Excel tools (e.g., filters, pivot tables) as necessary, with guidance from team members.
- Oversee operations for the complete lifecycle of editorial board service, including maintaining up-to-date editor lists, conducting onboarding and renewal processes, tracking conflicts of interest, and collaborating with internal teams to ensure journal information is current across online and print materials.
