Key Responsibilities
Event Pre-Planning and Coordination
- Interpret client briefs, identify core objectives, and align event strategies with client expectations.
- Generate creative event concepts that embody brand identity and goals, ensuring an engaging experience for participants.
- Create a detailed event timeline, effectively delegate tasks, and facilitate smooth collaboration among internal teams.
Vendor Management
- Communicate event requirements to vendors, covering design, setup, and logistical considerations to ensure mutual understanding.
- Source and negotiate quotations from various vendors, balancing quality and cost to achieve optimal solutions.
- Oversee vendor deliverables, ensuring timely execution, and proactively address any last-minute challenges to uphold event standards.
- Supervise on-site vendor activities, ensuring adherence to timelines and quality expectations while addressing issues as they arise.
Event Management
- Direct on-ground execution, ensuring event setup aligns with planned objectives and brand guidelines.
- Manage potential crises effectively to minimize disruptions during events.
- Facilitate seamless communication among clients, vendors, and internal teams to maintain event coherence.
- Enhance guest experiences by ensuring hospitality, engagement, and brand messaging are executed flawlessly.
Post-Event Activities
- Conduct proper event closure, including dismantling, material returns, and budget reconciliation, ensuring a comprehensive wrap-up.
