Your Role and Responsibilities
As an Associate Project Manager, you will play a pivotal role in supporting clients with both internal and externally-facing events and conferences, ensuring exceptional service through innovative project management and creative solutions. This position encompasses all event operational aspects, from initial briefings to post-event evaluations. Key duties include managing project timelines, collateral, registration, transportation, accommodations, entertainment, food and beverage, audiovisual requirements, webcasts, staging, speaker coordination, and overall event execution.
Please note that travel for onsite events, both domestically and internationally, will be required as necessary.
Your Contributions
- Oversee the full life-cycle planning and execution of various key events in virtual, in-person, and hybrid formats.
- Handle financial management tasks, including budget development, expense tracking, invoice processing, and timely post-event reconciliation with comprehensive financial reporting.
- Sourcing, negotiating, and managing site selections, along with contract management for venues and suppliers.
- Coordinate all aspects of registration, food and beverage, transportation, accommodations, entertainment, gift selection, audiovisual needs, webcasts, staging, and speaker selection, with a strong focus on vendor management.
- Collaborate effectively with key internal partners on event deliverables such as Marketing for print and digital designs, Production for audiovisual needs, Event Technology for web builds, data management, and Legal and Compliance as necessary.
- Manage virtual event planning and project management, including confirming the appropriate virtual platform, creating timelines, inviting participants, and maintaining thorough communication with attendees and suppliers.
