Qualifications

5+ years of experience supporting a C-level executive, preferably in the tech, e-commerce, or automotive sectors. Native-level proficiency in German and fluency in English (both written and spoken). Bachelor’s degree in Business, Communications, or a related field. Proficient in Google Workspace and MS365, as well as virtual meeting tools. Excellent business writing, presentation, and data visualization skills. Demonstrated ability to manage shifting priorities, tight deadlines, and confidential tasks effectively. Experience in the GCC region and knowledge of Arabic is a plus.

About the job

As the Executive Assistant to the CEO, you will play a pivotal role in managing the CEO's calendar, communications, and critical projects, serving as a bridge between English and German-speaking stakeholders across Europe and the GCC.

Key Responsibilities:

  • Calendar & Travel Management: Oversee the complex scheduling of appointments, including visa arrangements, flights, accommodations, and ground transport.

  • Meeting & Board Preparation: Prepare agendas, briefings, minutes, and follow-up actions for both internal and external meetings as well as quarterly board packs.

  • Communication Hub: Compose impactful emails, presentations, and reports in both English and German; translate sensitive documents as required.

  • Project Monitoring: Keep track of priority projects for the CEO, ensuring deadlines are met and potential risks are identified early on.

  • Stakeholder Liaison: Serve as the primary point of contact for investors, senior leadership, and key partners, maintaining a professional experience in both languages.

  • Confidential Administration: Handle expense reports, legal documents, and NDA filings with the utmost discretion.

  • Event Coordination: Organize leadership retreats, investor roadshows, and VIP visits.
