This pivotal role involves managing job costing, overseeing contract administration, and analyzing project financials while also assisting with accounts receivable functions. The ideal candidate will be proactive and adept at collaborating across departments with project managers, sales, and operations to ensure financial accuracy and compliance with contracts.Key Responsibilities:Review contracts, bids, and change orders to ensure compliance with company standards, billing terms, sales tax, and retention policies.Establish and maintain job cost structures in QuickBooks Enterprise for accurate tracking of budgets, costs, and profitability.Prepare and analyze monthly financial reports, including Work in Progress (WIP) schedules, project profitability, and cost variance analyses.Collaborate with project managers to track contract progress and align financial outcomes with project milestones.Accounts Receivable and Billing (Support Role):Manage billing cycles by creating invoices, submitting them to clients, and following up on overdue accounts.Reconcile accounts receivable aging reports and escalate discrepancies to the Controller when necessary.Promptly address client inquiries regarding billing in a professional manner.Assist with month-end and year-end closing processes related to receivables and revenue recognition.Administrative & Compliance Responsibilities:Maintain thorough and accurate project and contract documentation, both electronic and physical.Support the Controller with ad hoc reporting and special projects as needed.Suggest and implement improvements for contract and accounts receivable workflows.Qualifications & Requirements:Bachelor's degree in Accounting, Finance, or Business (an Associate's degree with relevant experience may be considered).1-2+ years of experience in project accounting, contract management, or job costing (experience in construction or manufacturing is a plus).Proficient in QuickBooks Enterprise and advanced Microsoft Excel skills (including pivot tables and VLOOKUPs).Strong understanding of contract terms, billing schedules, and fundamental accounting principles.
