About the Role
We are seeking our inaugural Executive Assistant, a highly organized, proactive, and agile professional to provide support to our Chief Executive Officer (CEO) and ensure operational excellence across various time zones.
This position necessitates exceptional communication abilities, strong prioritization skills, and the capacity to function with professionalism and discretion in a fast-paced global environment. The CEO is based in the U. S. and frequently travels to Paris and other international locations, which requires effective coordination across multiple time zones.
Note: This role is primarily focused on executive and operational support, rather than being a Chief of Staff or strategic leadership position.
Your Responsibilities
Executive Support & Communication
Manage intricate calendars across various time zones, including scheduling meetings, travel logistics, and coordination with both internal and external stakeholders;
Prepare briefing materials, presentations, agendas, and follow-up notes for leadership meetings;
Act as the primary point of contact for CEO communications that necessitate prioritization and clear response workflows.
Finance, Payroll & Operational Support
Oversee payroll execution and coordination with external providers, ensuring precision, timeliness, and accurate record-keeping;
Collaborate with accountants, payroll services, and operational tools to maintain financial and administrative discipline;
Assist operations in maintaining employee records, benefits, and other administrative tasks.
