JOB SUMMARY
The Assistant Property Manager at Bushburg Properties Inc. is pivotal in ensuring the seamless execution of management services and reporting for our diverse multi-family and commercial portfolio. This role encompasses a variety of essential duties and responsibilities that contribute significantly to our operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Tenant Relations:
Establish and nurture positive tenant relations to enhance tenant satisfaction.
Assist in organizing and participating in tenant events as required.
Manage the coordination of tenant move-ins and move-outs alongside leasing, accounting, and building teams.
Address incoming tenant communications promptly and professionally.
Prepare and send communications to tenants regarding building updates and seasonal events.
Deliver welcome gifts to new tenants to foster a sense of community.
Quality Control:
Efficiently coordinate unit turnovers to meet leasing and marketing standards.
Engage third-party vendors for necessary services.
Ensure all vendor and tenant Certificates of Insurance (COI) are current and accurate before service commencement.
Draft and review incident reports for submission to the Risk Management team.
Manage parking issues, including towing, booting, and violations; maintain an updated spreadsheet for reserved parking.
Organize annual building fire drills; communicate safety protocols to tenants and prepare evaluation forms.
Address minor IT and phone issues with preferred vendors as necessary.
Coordinate team meetings and employee appreciation events.
Keep lobby directories and elevator screens updated with current information.
Develop and maintain Tenant Handbooks, Storm Preparedness Plans, and Emergency Procedures.
Monitor daily operations using ManageGo, ensuring work orders are entered and closed efficiently while following up with tenants to guarantee satisfaction.
Assist in creating or revising forms or letters for the Property Management team as required.
Support the management of daily coverage, including after-hours, holidays, and vacation schedules for field staff.
Financial Management:
Assist the Property Manager in formulating annual operating and capital budgets.
Review and categorize invoices for timely processing and approval.
Communicate with tenants regarding outstanding rent payments.
Ensure timely billing and collection of all reimbursable charges to tenants.
