Role overview
This Executive Assistant position centers on supporting the Founder with a wide range of organizational and logistical tasks. The role is based in NYC and calls for a high level of attention to detail, strong communication skills, and the ability to anticipate needs in a fast-moving environment.
What you will do
- Calendar & Schedule Management: Manage the Founder's calendar, including scheduling and rescheduling meetings, and protecting time for key priorities.
- Coordinate meetings across multiple time zones with team members, investors, partners, and board members.
- Identify potential scheduling conflicts and resolve them before they become issues.
- Travel Planning & Logistics: Organize all travel arrangements, such as booking flights (domestic and international), accommodations, ground transportation, and dining reservations.
- Prepare detailed itineraries that account for time zones and personal preferences.
- Handle last-minute changes smoothly and keep the Founder updated.
- Dinners, Events & Hospitality: Coordinate team dinners, offsite events, and high-level meetings, handling everything from selecting venues to managing logistics on the day of the event.
- Arrange catering, seating, and guest communications for in-office gatherings.
- Represent Standard Template Labs professionally when interacting with guests and vendors.
- Ad Hoc & Special Projects: Support the Founder and Chief of Staff with various requests as priorities shift.
- Research venues, vendors, and gifts, and provide clear, actionable recommendations.
