About the job
A Message from the Founder
At Probook, we're a dynamic team of 30, generating approximately $XX million in annual recurring revenue (ARR). However, our growth is currently hindered by disorganized processes.
We face challenges such as customer health metrics scattered across multiple spreadsheets, and physical checks that remain uncashed on my desk for months. Our go-to-market playbooks are only partially documented. In this role, you will establish our operational foundation from the ground up, covering finance, administration, people operations, systems, and special projects. Working closely with me, you will help us optimize our team's capacity and facilitate our scaling efforts.
It's important to note that the initial phase of this role may not be glamorous or strategic. Your first months will involve essential operational tasks such as coordinating schedules, managing receivables, and overseeing office responsibilities.
However, if you thrive in building systems from scratch and enjoy making tangible progress, this is a unique opportunity. Collaborate directly with the founders and gain firsthand experience in a rapidly growing environment.
About Probook
Probook serves as an AI dispatcher for the home services sector, revolutionizing operations in plumbing, HVAC, and electrical industries.
Our impact is significant. Efficiently dispatching the right technician to a job can mean the difference between a $300 temporary fix and a $20,000 system overhaul. Our platform automates proactive communication and maintains 24/7 workflows, ensuring a seamless customer experience without the necessity for constant manual staffing. We consolidate these functions into a singular scalable platform, providing businesses with an integrated solution to manage their entire dispatch operations.
Your Responsibilities
Admin Management: You will take charge of all administrative functions, including calendars, travel arrangements, logistics, and office management. Initially, you will execute these tasks personally, then develop systems for scalability, and ultimately hire an executive assistant to manage these operations as you transition to higher-impact work.
Building Operational Infrastructure: Create financial systems that provide real-time insights into cash flow, expenses, and unit economics. Address accounts receivable issues and implement core human resources systems.
Strategic Initiatives: Tackle our most challenging problems without predefined guidelines. You'll operationalize go-to-market strategies, develop customer success tools, and manage essential one-off hires, enabling the team to concentrate on product development, closing sales, and customer care.
Who You Are
Proactive and Driven: You will begin by handling tasks like booking travel, managing calendars, and following up on receivables. You believe no task is too small and prefer to execute the work personally before establishing systems or hiring help.
Reliable and Competent: The CEO can trust you with complex tasks, knowing you will handle them with professionalism and efficiency.
