About the Role
We are seeking a dynamic and meticulous Administrative Executive to oversee the daily operations of our office, ensuring an organized, efficient, and productive workplace. This role demands exceptional coordination, vendor management, and administrative skills to effectively support our business operations.
Key Responsibilities
- Manage daily office operations and facilities, ensuring a safe and efficient environment.
- Coordinate the procurement of office supplies, equipment, and organizational assets while collaborating with the IT team to maintain inventory records.
- Establish and nurture relationships with vendors and service providers, ensuring the delivery of quality services and timely coordination.
- Assist with administrative financial tasks such as tracking invoices, managing vendor payments, overseeing petty cash, and liaising with the Finance team.
- Maintain comprehensive administrative documentation, including operational trackers and vendor records.
- Handle end-to-end travel arrangements for employees and leadership (bookings, itineraries, accommodations, and logistics).
- Provide general administrative support, including filing, documentation, and photocopying.
- Coordinate meeting room scheduling and reservations.
- Assist employees with administrative inquiries and direct them to the appropriate contacts.
- Conduct regular checks of office spaces, meeting rooms, and amenities, facilitating the timely resolution of maintenance and facility issues.
Required Skills & Qualifications
- Exceptional organizational and coordination skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
