As an Office Administrator, you will play a crucial role in providing secretarial and administrative support to ensure the efficient operation of the department. Your responsibilities will encompass managing correspondence, scheduling meetings, maintaining records, and overseeing various administrative tasks.
Key Responsibilities:
- Oversee all administrative functions within the department to facilitate seamless operations.
- Screen and manage incoming calls and correspondence, responding independently when appropriate.
- Coordinate events, programs, or conferences by arranging facilities, catering services, and managing invitations.
- Prepare essential records including agendas, notices, minutes, and resolutions for corporate meetings.
- Act as the custodian for corporate documents and records, processing vendor invoices and ensuring timely payments.
- Execute general office duties, including maintaining an adequate inventory of office supplies.
- Handle the preparation and filing of corporate legal documents to comply with regulations.
- Draft confidential correspondence, reports, and complex documents as needed.
- Plan and manage detailed travel arrangements and compile documents for travel-related meetings.
- Manage calendars, scheduling appointments independently.
- Assist in preparing reports as required by the department head.
- Serve as the custodian of petty cash and equipment for the team.
- Maintain budgets and manage invoice billing according to established plans.
- Carry out any other related duties or projects as assigned to meet business needs.
- Keep comprehensive records of sales, contracts, leads, and other sales activities.
- Organize and facilitate sales meetings, supporting the Commercial Manager with sales and marketing activities.
- Administer sales documents including contracts and policies.
- Assist the Commercial Manager with sales reports and presentations.
- Engage actively in weekly sales calls and meetings.
- Plan and support Agility’s participation in trade shows, events, fairs, and exhibitions.
