Job Description:
We are seeking a highly organized and proactive Executive Assistant to deliver exceptional support to our Senior Leadership team at Refyne. The ideal candidate will possess outstanding communication skills, a keen eye for detail, and the ability to handle tasks with utmost professionalism and confidentiality. Previous experience working in a similar capacity, particularly within a C-Suite environment, is highly desirable.
Key Responsibilities:
- Provide administrative assistance to the Senior Leadership team, ensuring alignment with company goals and efficient operations.
- Keep the Senior Leadership team informed about upcoming commitments and responsibilities while following up as needed.
- Act as a liaison between management and employees, managing communications with both internal and external executives on various projects and tasks.
- Organize and prioritize the executive workload to meet organizational objectives effectively.
- Handle professional and personal scheduling for the Senior Leadership team, including managing agendas, emails, and calls.
- Coordinate all Executive Team meetings and retreats, assisting with staff meetings and events as required.
- Conduct research, review documents, and analyze information to enhance the productivity of the Senior Leadership team.
- Oversee the flow of information and content to senior executives.
- Assist in the development and evaluation of office policies and procedures to improve workflow.
- Support vendor selection and procurement of equipment, services, and supplies essential for operations.
- Manage travel arrangements for senior executives, including flight and hotel bookings, transportation, meal coordination, and logistics for meetings and presentations.
- Ensure office supplies are replenished, including snacks and necessary materials.
- Provide general administrative support, such as document creation, filing, and database management.
- Maintain professionalism and confidentiality while interacting with the Executive team and other stakeholders.
- Record meeting minutes and distribute them as required.
- Welcome clients and visitors, assisting them with their needs and fostering positive relationships.
- Handle petty cash reimbursements and reconciliations.
