Qualifications
Key Responsibilities:Manage diaries for four executives, tailoring to their individual styles and preferences. Travel Management:Conduct research, prepare, and book travel itineraries according to specific briefs. Facilitate visa arrangements and understand the requirements for additional travel documentation. Coordinate transportation, including taxis for travel and meetings. Handle travel expense administration, reconcile credit card statements, initiate POs and invoices, and set up new suppliers based on directors' instructions. Manage couriers and occasional outgoing post. Prepare executives for meetings, which includes booking meeting rooms, arranging catering, welcoming external clients, and collating meeting materials. Provide general assistance to the broader team and executives on an ad-hoc basis. Cover responsibilities during holidays/sick leave and assist with overflow during busy times. Support ad-hoc projects and tasks as needed. Required Knowledge, Skills & Behaviors:Proven experience as a PA in a large organization. Exceptional organizational skills with a keen eye for detail. Strong written and verbal communication abilities. Proficient in managing Outlook calendars. Advanced skills in Microsoft Word, Excel, and PowerPoint.

Your Opportunity:
We are thrilled to announce an opening for an Executive Assistant (EA) within our London office, tasked with providing comprehensive administrative support to our senior board-level executives.
This role encompasses support for three executives, along with ad hoc assistance for the Group CEO and the CEO of EMEA.
Your responsibilities will include proactive diary management, organizing travel arrangements (including visa applications), and handling day-to-day administrative tasks such as expense reporting, purchase order and invoice management, and reconciling monthly credit card statements. Additionally, you'll be expected to assist other EAs during peak periods.
We are looking for a talented, proactive, and experienced team player who has a history of thriving in fast-paced environments and possesses a solid understanding of the core functions of central departments.
This position is hybrid, with a commitment to work four days in the office (Monday to Thursday) for the first six months. After this period, there may be flexibility to reduce to three days in the office based on work commitments.
