About the Role
We are in search of a detail-oriented and proactive Executive Assistant to provide thorough support to our senior leadership team. This role will be instrumental in ensuring smooth daily operations, allowing our executives to focus on strategic objectives.
The initial focus of this position will encompass four primary areas, with the expectation that responsibilities will evolve as the individual gains proficiency and identifies opportunities to enhance organizational efficiency.
Core Responsibilities
Inbox Management: Act as the main gatekeeper for executive communications. Responsibilities include triaging and prioritizing incoming messages, drafting and editing responses on behalf of leadership, flagging urgent issues, and ensuring consistent follow-up on all outstanding tasks.
Calendar Management: Manage and coordinate complex executive calendars across various time zones and stakeholder groups. This includes scheduling internal and external meetings, resolving scheduling conflicts, protecting focused work periods, and ensuring daily agendas align with executive priorities.
Travel Coordination: Plan and oversee all aspects of domestic and international travel, including flights, accommodations, ground transportation, dining, and detailed itineraries. Proactively monitor for travel disruptions and adjust plans in real time to minimize impact on the executive's schedule.
Office Management: Supervise daily office operations to maintain a professional and efficient work environment. This includes managing vendor relationships, ordering supplies, coordinating mail and deliveries, greeting visitors, and serving as the primary contact for facilities-related inquiries.
