Crete Professionals Alliance is looking for an Administrative Assistant & Receptionist to join the Louisville, KY office. This role keeps the office running efficiently and supports both staff and clients. The position suits someone who is organized, anticipates needs, and can handle shifting priorities throughout the day.

What you will do

  • Greet and assist clients, visitors, and staff as the first point of contact. Manage the front desk and respond to inquiries quickly.
  • Maintain a tidy reception area and ensure shared spaces, restrooms, and kitchen are orderly.
  • Process incoming and outgoing mail, deliveries, and correspondence.
  • Assist departments by scheduling appointments, preparing agendas, and taking meeting notes.
  • Organize files and records, maintaining confidentiality at all times.
  • Draft correspondence, presentations, and reports when needed.
  • Help plan and coordinate meetings, workshops, and department initiatives, managing logistics from start to finish.
  • Oversee schedules, resources, and communications for internal and external events.
  • Monitor office supplies and equipment, and resolve basic technology issues as they arise.
  • Contribute to other administrative tasks to support the team and office operations.
