Crete Professionals Alliance seeks an Administrative Assistant & Receptionist for its Louisville, KY office. This position keeps daily operations running smoothly and supports both internal teams and external clients. The right candidate is organized, proactive, and comfortable managing several priorities at once.
Main Responsibilities
- Serve as the first point of contact for clients, visitors, and staff. Oversee front desk operations and direct inquiries promptly.
- Maintain a welcoming reception area and ensure common spaces, restrooms, and kitchen remain clean and orderly.
- Handle incoming and outgoing mail, deliveries, and other correspondence.
- Support departments by scheduling appointments, preparing meeting agendas, and taking notes during meetings.
- Organize and maintain files, records, and documents while protecting confidential information.
- Assist with creating correspondence, presentations, and reports as needed.
- Help plan and coordinate meetings, workshops, and departmental initiatives, managing logistics from start to finish.
- Manage schedules, resources, and communications for both internal and external events.
- Monitor office supplies and equipment, and troubleshoot basic technology issues when they arise.
- Take on other administrative tasks as needed to support the team and organization.
