We are actively looking for an enthusiastic Assistant Property Manager with a background in luxury residential management. This role is crucial as we launch and manage a new upscale development, aimed at providing an exceptional living experience for our residents.
Key Responsibilities
Enhancing Resident Experience
Foster robust relationships with residents, ensuring their satisfaction remains a top priority.
Oversee seamless coordination of resident move-ins and move-outs alongside leasing, accounting, and building teams.
Address resident inquiries and service requests promptly and professionally.
Facilitate clear communication with residents regarding building updates, weather advisories, and operational notices.
Assist in welcoming new residents, providing onboarding gifts, and organizing occasional community events.
Regularly audit and maintain resident emergency contacts and operational hour records.
Managing Building Operations
Coordinate apartment turnovers to ensure readiness for leasing and occupancy.
Schedule necessary building repairs and maintenance, ensuring compliance with insurance requirements.
Manage and monitor work orders through ManageGo, ensuring timely completion and resident updates.
Maintain lobby directories, elevator displays, and building communication systems.
Track building equipment purchases and warranties via Rent Manager.
Assist in incident reporting and the organization of building safety drills and inspections.
Ensure compliance with safety regulations and schedule inspections using SiteComply, Jack Jaffa, and Rent Manager.
Providing Financial & Administrative Support
Assist the Property Manager in preparing operational and capital budgets.
Review and code invoices for processing via AVID.
Communicate with residents regarding account balances and rent-related inquiries.
Support lease administration and tenant account adjustments.
Prepare lease abstracts and review leases for recurring charges and annual increases.
General Operations Management
Monitor inventory levels and ensure building supplies are ordered as necessary.
Maintain organization and cleanliness of common areas and building amenities.
Utilize various company platforms, including Rent Manager, AVID, ManageGo, Slack, and Box.
Keep organized digital records and assist with operational documentation.
Support the Property Manager with daily building operations and special projects.
